What we do with your data, in writing.

Bringing AI into a company means deciding which data goes through which tools, who reviews, and who is responsible. This page says how Beneloo settles those questions, and what you can verify.

    Six commitments

    A contract under Belgian law

Every engagement is contracted with Hakuna Matata SRL (company number 0877.585.922), a Belgian company. Belgian law, Belgian courts, Belgian invoice. A GDPR data processing agreement is signed at the start: it lists the processing operations, retention periods and any sub-processors.

A written inventory of what is used in your company

Every process sheet states the AI provider and model used, what is sent to them, what never is, and which jurisdiction the provider falls under. The choice is made with you, according to the process and the sensitivity of the data. Nothing is connected without it being written down.

No confidential data without written consent

Customer, employee, health, financial data, professional secrecy: they only go to an AI model with your written consent and a declared sub-processor. By default, the AI works on anonymised data or document templates, and a human completes.

Human review of every sensitive output

Everything that goes to a customer, an employee, an administration or a bank is reviewed before sending by a person named in the sheet. Automatic sending is the exception, decided by you, limited in the sheet.

Trained teams, as the AI Act requires

Article 4 of the European AI Regulation requires, since 2 February 2025, that staff using AI systems have a sufficient level of AI literacy. The training week of Beneloo Entreprise and the in-company training answer it: course material, named certificate, usage charter written with your teams.

    No label claimed

Beneloo holds no label, accreditation or official certification, and claims none. What you can verify: the contract, the data processing agreement, the sheets and the certificates.

A method inherited from regulated pharma

In the pharmaceutical industry, a computerised system that affects product quality is validated: you write what it must do, you prove it does it, you keep track of every change. Beneloo applies the same reflexes to AI in a company, at a scale that fits on one sheet per process.

    • A written specification before building: the process sheet describes the objective, the data, the steps and the limits.
    • A documented test on real cases before go-live, with expected and actual results.
    • Approval by the business owner, not by the consultant.
    • A version and a change log: who changed what, when, why.
    • A periodic review, because an AI model changes behaviour without warning.

    The tools behind this site

The beneloo.com site itself relies on third-party services. Here they are, with their use. Details of the data processed, retention periods and your rights are in the privacy policy (FR).

    Public sector and regulated professions

Municipalities, social welfare centres, hospitals, law firms, accountants, bailiffs: professional secrecy adds a constraint. No covered data is sent to an AI model without written consent and a declared sub-processor, and the process sheet says so. The approach for public bodies is described on the public sector page.
