Giving time back to staff, without cutting a single job.

Municipalities, social welfare centres, intermunicipal bodies, schools, public hospitals, non-profits of general interest: the same repetitive tasks come back every week, and professional secrecy forbids handing them to just any tool. Beneloo applies to the public sector the same method as to companies: one process at a time, documented, reviewed by a staff member.

    Three stages

    Audit of administrative workload

The tasks that wear out your staff, reviewed with them: data entry, reporting, repetitive files, cross exports. Time quantified per week, choice of processes to tackle first. The report serves as the basis for the decision of the executive or the council.

Documented processes, partly handed to AI

Each selected process gets its sheet: objective, data, steps handed to AI, human control, excluded data, version. Staff test on real files, we fix, we put into production. Every message to a citizen or a beneficiary is reviewed by a staff member.

    Trained and autonomous staff

On-site training, compliant with Article 4 of the AI Act, usage charter written with the teams. Staff maintain the sheets themselves. No dependence on a provider at the end.

    Who it is for

Municipalities and intermunicipal bodies, for counters, civil registry, planning and citizens' requests. Federal and regional administrations, for file volume and regulatory archiving. Social welfare centres, for assistance files and subsidy reporting, with absolute professional secrecy. Public hospitals, for multiple data entry and reporting, with mandatory human oversight. Schools and colleges, for certificates, enrolments and reports. Non-profits, for subsidy files and donor follow-up.

Our data commitments are detailed on the compliance page.

    Frequently asked questions

Is Beneloo accredited or labelled for the public sector?

No. Beneloo holds no official label or accreditation and claims none. Beneloo works directly or as a subcontractor, according to the appropriate procedure: public procurement, negotiated procedure without publication, regional framework contract. Terms are set case by case.

    How is professional secrecy respected?

No data covered by professional secrecy (medical, social, school, tax) is sent to an AI model without written consent and a declared sub-processor. By default, the AI works on document templates and anonymised data; the staff member completes and reviews. A GDPR data processing agreement is signed with each body, and every process sheet states what is transmitted and what never is.

What if our staff are afraid of AI?

Beneloo turns down engagements whose purpose is to reduce headcount, and writes it in its terms of engagement. Before any rollout, the staff concerned and their representatives are met: what will be handed to AI, what will not, who reviews. No sheet goes into production without the staff having tested and approved it.

How much does an engagement cost?

Quoted, after a first conversation, according to the scope identified and the applicable procedure. For non-profits and small municipalities, regional funding schemes are reviewed with you.
